1. Scope of Agreement
These Terms and Conditions govern all travel services provided by A2Z Himachal Tour and Travels ("Company", "we", "our", "us") to you ("Customer", "Client", "Guest", "Traveller"). By requesting a custom quotation, paying a booking deposit, or boarding our vehicles, you agree to be bound by these terms.
2. Booking Procedure & Payment Confirmation
- Advance Deposit: A minimum advance token deposit (typically 20% to 30% of the total tour cost) is required to block private commercial cabs, confirm hotel room reservations, and issue an official booking voucher.
- Balance Payment: The remaining balance of the tour package must be paid upon arrival in Himachal Pradesh (on Day 1 or Day 2 of the itinerary as specified in your booking voucher).
- Modes of Payment: We accept UPI (Google Pay, PhonePe, Paytm), Direct Bank Transfer (NEFT / IMPS / RTGS), and major credit/debit cards. All payment confirmations are acknowledged via WhatsApp and official email.
3. Inclusions & Exclusions Framework
Unless explicitly specified in writing in your customized itinerary:
- Standard Inclusions: Dedicated private vehicle (Sedan / Ertiga / Innova / Tempo Traveller) with verified commercial mountain driver, fuel charges, state road taxes, green cess, toll taxes, all parking fees, driver night allowances, pre-booked hotel stays, and meal plans (EP, CP, or MAP as confirmed).
- Standard Exclusions: Personal expenses (laundry, room service, alcoholic beverages, extra heater charges levied by certain budget hotels), adventure activity fees (paragliding, river rafting, skiing, ATV rides), Rohtang Pass NGT environmental permits / snow suit rentals, monument entry tickets, and tips to drivers/hotel staff.
4. Mountain Driving & Vehicle Regulations
- Air Conditioning (AC) in Hills: In strict compliance with Himachal Pradesh transport safety norms, vehicle air conditioning (AC) is switched off on steep uphill mountain climbs (e.g., Shimla bypass, Solang Valley ascent, Jalori Pass, Kinnaur-Spiti roads) to prevent engine overheating and ensure maximum traction. AC functions smoothly on plains and national highways.
- Sightseeing Timing: Standard daily cab sightseeing timings operate between 09:00 AM and 07:00 PM. Night driving on high mountain passes is restricted for passenger safety except in emergency transfers.
- Luggage Capacity: Standard Sedans accommodate up to 2 medium suitcases + 2 small carry-ons; SUVs (Innova/Ertiga) accommodate up to 4 medium suitcases. Excessive luggage exceeding boot capacity cannot be accommodated inside passenger seating areas.
5. Hotel Check-In & Accommodation Policies
- Standard hotel check-in time across Himachal Pradesh is 12:00 PM ? 02:00 PM, and check-out time is 10:00 AM ? 11:00 AM. Early check-in or late check-out is subject to hotel room availability and may attract nominal hotel charges.
- All guests (including children above 5 years) must present valid government photo identification (Aadhaar Card, Passport, Voter ID, or Driving License) at hotel check-in. PAN cards are not accepted as proof of address.
- Special requests (such as mountain-facing rooms, double bed preference, or high floors) are passed to hotel management and honored subject to hotel occupancy.
6. Force Majeure & High Altitude Weather Clause
Himachal Pradesh is a majestic, high-altitude Himalayan region subject to unpredictable weather conditions, snowstorms, landslides, flash floods, or administrative road closures ordered by district magistrates or the Border Roads Organisation (BRO).
In the rare event of severe pass blockages (such as Rohtang, Atal Tunnel, or Jalori Pass closures), our native drivers will arrange alternate, safe sightseeing routes. Any additional transport or accommodation costs arising due to natural force majeure circumstances beyond human control shall be borne directly by the guest.
